TRAVEL CONCIERGE  |  BOOKING TERMS & CONDITIONS

Effective date: 22 October 2026  •  Bermuda

1. About Gate 32

Gate 32 (‘Gate 32’, ‘we’, ‘us’) is a Bermuda-based sole-proprietor travel concierge service offering travel planning and booking assistance for leisure, group and corporate clients. Gate 32 works with Fora as a host-agency partner and with third-party travel suppliers, which may include airlines, hotels, cruise lines, tour operators, transport providers and insurers.

Contact: hello@gate32travel.com | Website: gate32travel.com | Business location: Bermuda.

2. Acceptance and scope

These Terms apply to requests for Gate 32's planning, research, coordination and booking-assistance services. Before a chargeable service begins or a booking is confirmed, we will identify the applicable scope and any Gate 32 service fee. By approving a quote, authorizing a booking or paying an agreed service fee, you accept these Terms and any supplier conditions disclosed to you.

If an individual books for others, that person must have authority to provide their information and accept relevant booking terms on their behalf. Corporate or group arrangements may be governed by an additional written proposal or agreement.

3. Inquiries, quotations and availability

An inquiry or proposed itinerary does not constitute a confirmed reservation. Fares, rates, taxes, availability, inclusions and travel conditions can change until the supplier issues confirmation. Quotations may have a limited validity period and can be affected by currency exchange rates and supplier charges.

Clients must review traveler names, dates, routes, room categories, baggage, accessibility needs and all quoted details before authorizing a booking. We will communicate material supplier restrictions that are made available to us.

4. Gate 32 planning and service fees

Some straightforward bookings may have no separate Gate 32 service fee; other requests, including flight-only research, customized itineraries, complex or group travel, may attract a fee. We will disclose the fee, what it covers, when it is payable and whether any part is refundable before beginning the chargeable work.

Where a service fee is applicable, including for flight-only research, customized travel itineraries, multi-destination travel, group arrangements, corporate travel or other specialized planning services, Gate 32 will communicate the applicable fee and payment requirements before commencing chargeable work. Where advance payment is required, planning, research or coordination services will begin once the agreed payment has been received.

Unless otherwise agreed in writing, Gate 32 service fees compensate for professional time, research, planning and coordination services performed. Payment of a service fee does not constitute payment for travel arrangements, confirm supplier reservations or guarantee booking availability.

A separate written quote or invoice governs the amount and any project-specific milestones. No fee schedule is incorporated into these Terms unless supplied to and accepted by the client.

5. Payments and booking authorization

Travel supplier charges are generally processed through the applicable supplier or Fora-supported booking channel, rather than collected by Gate 32 into a personal bank account. Gate 32 service fees, where applicable, will be invoiced with clear payment instructions using an approved payment method.

We will not request that you send payment-card details, passport copies or other sensitive documents through an unsecured channel. Do not send card numbers by ordinary email or through the general website inquiry form. A booking is only confirmed once the relevant travel supplier has issued its official confirmation, reservation reference or ticket, as applicable. Gate 32 may subsequently provide a branded travel booking confirmation summarizing the confirmed arrangements for the client’s convenience. Such documentation does not replace the supplier’s official confirmation or alter the supplier’s applicable terms and conditions.

6. Supplier terms, changes and cancellations

Airlines, hotels and other suppliers provide the underlying travel services and set their own booking, change, cancellation, no-show and refund rules. These rules may include non-refundable deposits, fare differences, penalties, deadlines and processing times. Supplier terms apply in addition to these Terms and take precedence for the supplier's own travel service.

If you request a change or cancellation, contact Gate 32 promptly. We will assist where reasonably possible, but supplier approval, availability and charges control the outcome. Gate 32 may charge a separate change-handling fee only if disclosed and agreed in advance. Any Gate 32 fee refund will follow the specific written service-fee terms accepted at the time of purchase.

Refunds of supplier payments, if due, are subject to the supplier's rules and processing arrangements. We cannot guarantee when a supplier will issue a refund or that a non-refundable purchase will be refunded.

7. Travel documents and traveler responsibilities

Travelers are responsible for ensuring that passports, visas, entry permissions, vaccinations, health documentation and other required travel documents are valid and suitable for their itinerary. Requirements may vary by nationality, transit point and destination, and may change without notice. Gate 32 can help identify information sources but does not provide immigration or legal advice.

Travelers must provide accurate legal names and booking information, check all confirmations promptly, arrive within required check-in times and comply with supplier and destination rules. Additional costs arising from incorrect information or missed deadlines may be the traveler's responsibility, subject to applicable law.

8. Travel insurance and unforeseen events

We strongly recommend suitable travel insurance, including medical, trip cancellation, interruption and baggage coverage as appropriate. Insurance terms, exclusions and claim decisions are determined by the insurer.

Disruptions may arise from weather, strikes, public health events, government restrictions, supplier insolvency or other circumstances outside Gate 32's control. We will use reasonable efforts to assist with available options, but rebooking, credits, refunds and compensation remain subject to supplier terms and applicable law.

9. Groups and corporate travel

Group quotes may differ from individual online rates and may involve minimum numbers, deposits, rooming lists, release dates, name-change rules and staged payment schedules. No group space is held unless the supplier expressly confirms a hold or reservation. The group organizer is responsible for conveying accepted terms and deadlines to participants, unless otherwise agreed in writing.

Corporate bookings may require a designated authorizing contact, traveler information and an agreed approval process. Any negotiated group or corporate conditions will be documented separately and prevail over conflicting general provisions for that booking.

10. Personal information and privacy

We process personal information to respond to inquiries, arrange requested travel and provide related support, as explained in the Gate 32 Privacy Policy available at www.gate32travel.com/privacy-policy. Travel bookings may require sharing necessary information with Fora and suppliers, including providers outside Bermuda.

Gate 32 does not currently request passport copies through its general inquiry form. If additional sensitive information becomes necessary, we will explain the purpose and provide an appropriate secure collection method before requesting it.

11. Errors, complaints and responsibility

Please notify Gate 32 promptly of any error in a proposed itinerary or issued confirmation. We will take reasonable care in providing our own planning and coordination services. Third-party suppliers remain responsible for delivering the travel products and services they contract to provide.

Nothing in these Terms excludes liability or consumer rights that cannot lawfully be excluded. Any liability limitation must be interpreted consistently with applicable law and the specific facts of a booking. Complaints about Gate 32 services may be sent to hello@gate32travel.com; complaints concerning a supplier's performance may also need to be raised with that supplier.

12. Changes to these Terms and governing law

We may update these Terms from time to time. The version supplied or made available when you accept a particular service generally governs that engagement, unless a change is required by law or expressly agreed. These Terms are governed by the laws of Bermuda, subject to any mandatory protections that apply to a particular transaction.

13. Client acknowledgement

Before authorizing a booking, clients should receive the relevant itinerary or quote, applicable Gate 32 fee disclosure and material supplier terms. Approval may be recorded in writing or through the agreed booking process.
